NOTE: This help page is part of a multi-step procedure. For an overview on maintaining archive specifications, see the "Maintaining Archive Specifications" topic. For information on using the "Edit Archive Specification Page," see the "Using the 'Edit Archive Specification'" topic.
The "Archive Specification Summary" page appears when you have selected the Generate Archive button to create a report archive. This page provides a summary of the data to be included in the archive you wish to create or report that you would like to purge. It serves as a final checkpoint, so that you can ensure the appropriate report instances are included. It also provides an estimate of the percentage of the CD / DVD the archive will occupy. (This feature will help you make more efficient use of your media.) As a reminder, the specification ID is displayed in the page's title bar.
The summary includes report-level and overall information that will help you determine if you wish to create the archive at this time or purge reports. It lists all the reports that match the archive specification as of when you pressed the Generate Archive button. To display the report-level data select, YES in the VIEW DETAIL column.
Each instance of each report to be archived is listed, along with its generated date, description, number of pages, and approximate size (in megabytes). If a report instance is listed in error, you may need to edit the archive specification; see below.
The total size of the archive file (in megabytes) is shown, as well as the percentage of the CD/DVD this file will occupy. Note that this information is an estimate, based on the number of pages of the files to be included. The actual size of the archive file will vary.
After you review the data to be included, you may wish to process the archive, or you can return to the "Edit Archive Specification" page and make any necessary updates.
Click the Process Archive button shown at left, and a confirmation message will appear at the top of the page. A copy of the archive specification is dated and sent to a queue, where it awaits processing. The ePrint administrator can now burn the CD/DVD; for information, see the "Burning a CD/DVD" topic.
Based on the summary data shown, if you do not wish to create the archive at this time, click the "Modify Archive" portion of the navigation bar to return to the "Edit Archive Specification" page.
